We will use DDE (Direct Data Export)  and Quick Export to pull information out of PS then use Pivot Tables to get the data to show the findings of the fields pulled.  An example would be for pulling CTE info and then using that data to quickly total CTE minutes for each student that can then be imported back into PS.  Before I found how useful Pivot Tables could be, it would take a least a couple of days to look over the student schedules and calculate the minutes for each CTE class.  With Pivot Tables it only takes a few minutes.

Validating Data with Excel & Returning Data to PowerSchool

This 2-hour session will focus on using quick export/import and Excel to quickly and easily validate and update lots of data fields. It does NOT require an indepth knowledge of export/import or Microsoft Excel to do what we are going to do. We will cover the general aspects of the quick export/import and a couple of helpful tools in Excel to help us find discrepancies in data. We will do 3 hands-on processes that I do each year: 1) Export all student demographics data fields, fix/update addresses, phone numbers, etc, then import back into Powerschool; 2) Export secondary students, assign lockers and combinations, import back into Powerschool; and, 3) export data for a multitude of uses lists (ie, librarian, yearbook/journalism staff, sports coaches).

Enterprise Reporting is a new way to build reports that can access database extension fields.   This will be a hands-on session and we will build several reports during the session.  Reports for the auditing process will also be demonstrated.  To be prepared for this session, check that you can access the APEX environment.  Use ":8443/ords" after your PowerSchool domain name to see if you have access (for example https:www.myps.org:8443/ords).   A little knowledge of SQL will be beneficial to help build reports for your school or district.
